Why register your event with council?

Promotion: Your event can be promoted across the shire through the events calendar on this website and posters displayed in Shop 108 Stawell.

Safe: When you fill out an event registration form, we will send this to relevant departments within the council. This ensures the correct departments are aware and therefore that you have the correct permits and permissions to run your event. 

Support: Throughout the planning process, we will assist you, providing guidance to ensure your event is a success. If you are looking for advice, you will be able to contact us over the phone or in-person.

Northern Grampians Shire Council aims to attract, promote, and support festivals, events, and activities that add value to the shire's economy in accordance with our NGSC-Municipal-Public-Health-and-Wellbeing-Plan-2021-25.pdf(PDF, 1MB).

Our shire provides the perfect backdrop for events throughout the year. Major events within the shire, such as the Stawell Easter Gift and Grampians Grape Escape, draw large crowds from across the country and are not to be missed.

With community events continuing to increase, the council is happy to perform as an active support role to assist smaller events to transform into major attractions. We are here to support you.

How do you register your event?

The online form should take no more than 20-30 minutes to complete depending on the complexity of your event or venue hire request.  You will be required, where applicable, to provide the documents listed below. It is advisable to have these documents ready before starting your application.

  • Risk Assessment
  • Emergency Management Plan/Site Plan 
  • Certificate of Currency

Registration

The Event Resources Guide provides information on how to run an event in our shire and includes all forms that may be required during the event planning process.

Council requires that all events, regardless of type, are registered. To do this, you will need to fill out an event registration form and describe the details of your event. Notifying the council will ensure that we can assist you to run a safe and successful event. 

Funding

Council appreciates the importance of community-driven events as well as building the capacity of community organisations to develop and implement successful events throughout the shire. 

Our events funding program may provide valuable assistance for your event. Please read council's Grant Funding Policy(PDF, 746KB) and the Tourism Events Grant Guidelines(PDF, 277KB) prior to applying for a grant to ensure your business or organisation is eligible. 

The online application form will be available on this webpage on October 1, 2025.

Venues for hire

Council manages a range of buildings across the shire that may be suitable for your event. Please refer to our venues for hire page for more detailed information regarding available venues. 

Spaces for hire

There are many beautiful parks and gardens throughout our shire for the enjoyment of both residents and visitors. Some of these reserves are available for use by clubs, organisations and individuals for events, sporting games and training, school sports days, fun runs etc.
